- Appoint organizer and planning team

- Decide on an audience
5 Weeks Out
- Plan budget
- Decide on location and format
- Ask/invite potential moderator and speakers
4 Weeks Out
- Confirm date and location
- Confirm moderator/panel speakers
- Increase audience recruitment
3 Weeks Out
- Begin advertising event
- Compile list of media contacts
- Send invitations to coalition partners and other important guests
2 Weeks Out
- Re-confirm speakers
- Confirm attendance and send reminder notice
- Prepare on-site handouts and media packet
- Choose media spokesperson(s)
5 Days Out
- Fax media advisory
- Finalize media packets
- Call coalition partners to assess attendance
2 Days Out
- Make reminder turn-out calls
- Review speeches
Day of Event
- Fax news release in the early AM
- Debrief: Did you meet your goals
After Event
- Follow up with media
- Thank participants
- Relax... It's Over!
