Description

The Administrative Assistant will be responsible for a variety of day-to-day administrative tasks of the Department of Field Operations. The employee in this position will report directly to a Senior Field Manager, with guidance from the Field Director. This individual will work as an integral member of the field team.

This is an entry-level administrative position at the center of the organizations' major work. The employee will have the opportunity to help build and monitor administrative infrastructure that is critical to activate the grassroots on a number of important civil rights issues. A commitment of two years is expected.

Skills and Qualifications

The job requires good planning and coordinating skills; good interpersonal skills; and the ability to coordinate multiple administrative tasks. Solid writing and verbal communications skills; attentiveness to detail; desire and ability to work with diverse groups of people; ability to manage a complex workload; ability to organize time efficiently; and a high level of personal energy are also requirements of the job.

Minimum requirements are a Bachelor's degree and proficiency in Microsoft applications (including Word and Excel), database systems, web activism software, and internet research. Field/grassroots administrative experience or related experience is a plus, but not required.

Duties and Responsibilities

Assist in the coordination and maintenance of effective technical support for members of the coalition in their efforts to activate the grassroots on civil rights issues.

Create and maintain grassroots email listserves; perform related database updates and maintenance.

Maintain online alert system (website action center).

Write/edit/compile a daily clippings newsletter.

Perform varied administrative and clerical duties including:

  • regularly responding to mail and online correspondence, inquiries, and requests from constituents and grassroots activists
  • coordinating materials, such as layout, design, preparation and distribution
  • coordinating the department travel arrangements and accommodations
  • working with vendors to retain services (e.g. printing companies, conference call services, graphic designers)
  • coordinating and conducting meeting preparation and logistics
  • monitoring, recording and submitting department financial documentation
  • providing support for various website maintenance activities (clipping relevant news headlines, maintaining the online action center, etc.)
  • Participate in department, All-Staff, and other meetings as needed

Salary and Benefits

This is an entry-level position with a starting salary in the low thirties.
